Import or register purchase documents

Incoming documents can arrive through Peppol Inbox, work-folder uploads, local files, or manual entry. Use the source that keeps the original PDF or UBL attached to the purchase record whenever possible.

When a document is imported from a folder or Peppol message, still review supplier, date, amount, due date, VAT, and payment details before marking the record ready for payment.

Use the right document type

BPS Pro separates purchase invoices, purchase credit notes, tickets, fines, proformas, and payment documents. This classification keeps overviews and payment routines clear.

Use comments for decisions, missing information, disputes, or internal approval notes. Use the archive state only when the document no longer belongs in the active follow-up list.

Payment lists and payment plans

The payment list helps prepare payable documents. Payment plans support staged payments when one invoice should be paid over multiple dates or amounts. Keep due dates and paid amounts accurate so the financial overview remains trustworthy.

When in doubt: add a comment before changing payment state. Future users need to know why a document was held, split, disputed, or delayed.

Archive and planning links

Some purchase documents can be connected to planning or operational work. Link documents while the context is still known, then archive only after payment and review are complete.
